What is WhenWe?
WhenWe helps a group find a time to get together. The organiser creates a poll with a few possible times, shares an invitation link, and confirms a time after the group has answered.
Accounts, answers, shared links, and what happens when plans change.
WhenWe helps a group find a time to get together. The organiser creates a poll with a few possible times, shares an invitation link, and confirms a time after the group has answered.
Only the organiser needs an account to create and manage polls. Guests can answer for free without signing in. Keep your personal edit link somewhere safe so you can return to your answers.
Yes. Creating an account and publishing polls are free during the preview. There is no paid subscription to choose or payment step to complete. Future organiser pricing has not been decided.
No. Invitation links open in a browser on a phone, tablet, or computer. Dedicated iPhone, iPad, and Android apps are planned; they are not required to answer a poll.
Available means the time works for you. If needed means you could make it work. Unavailable means you cannot attend. Not answered means you have not decided yet; it does not count as a refusal.
Yes. A group can be one person, a couple, a family, or a team. The organiser chooses whether you give a shared answer, combine individual answers into one group answer, or count each person separately. When answers are combined, everyone must answer before the group can count as available or if needed; one unavailable member makes the group unavailable.
Anyone with the invitation link can see the plan, participant names, and combined results. Named availability for each time is visible only to the organiser by default. The organiser can choose to share those detailed answers with everyone who has the link. Keep your personal edit link private: it gives access to change your answers.
In the web app, answers save automatically once you have completed your name and any required group details. Wait for “All changes saved” before leaving. If you are offline or saving fails, keep the page open, reconnect, and check that saving finishes. Changes made offline are not guaranteed to survive closing the page.
Use your personal edit link while the poll is open. Closing a poll or confirming a final time stops new answers and edits. The organiser can reopen a closed poll. Once a final time is confirmed, the poll cannot currently be reopened.
Yes. The organiser sets a time zone for the poll. Guests also see their local time when it differs, so everyone is answering for the same moment.
Once the organiser confirms a time, you can download an .ics file and add it to your calendar. This is a one-off download; later changes to the plan do not automatically update that calendar entry.
